1. Texas Notary Commission

DFW Notary Professional operates under an active Texas Notary Public commission in good standing with the Texas Secretary of State. The current commission expires May 19, 2027, with renewal scheduled in advance to maintain continuous service.

Every Texas notary is required to post a $10,000 surety bond with the Secretary of State. This bond is in place and current. The bond protects clients from financial harm caused by notarial negligence or misconduct, separate from and in addition to professional liability insurance described below.

All notarial acts are performed in strict compliance with Texas Government Code Chapter 406, Texas Administrative Code Title 1, Part 4, Chapter 87 (Secretary of State notary regulations), and applicable Texas case law. Compliance includes proper identification of signers, capacity assessment, journal documentation, fee schedule adherence, and avoidance of unauthorized practice of law.

2. Professional Certifications

2.1 NNA Notary Signing Agent

Certified Notary Signing Agent through the National Notary Association (NNA). NSA certification is the recognized professional credential for handling loan signings — it requires passing a written exam covering loan document types and signing procedures, completing the NNA’s training curriculum, and maintaining continuing education requirements.

For title companies, lenders, and signing service marketplaces: NNA NSA certification is the baseline qualification most signing assignments require. We meet that baseline and maintain it actively.

2.2 Background Screening

Background screened through the National Notary Association’s certified screening process. The screening covers federal criminal records, state criminal records (multi-state), national sex offender registry, and OFAC/government watch list screening. Background screening is renewed annually as part of NSA certification maintenance.

For employer clients, healthcare facilities, and other engagements where vendor background screening is part of standard procurement: documentation of current background screening status is available with the Certificate of Insurance package.

2.3 Snapdocs Verified

Snapdocs Verified status, indicating completion of Snapdocs’s signing agent verification process. Verified status is a prerequisite for receiving signing assignments through the Snapdocs marketplace and signals additional layers of identity verification, credential confirmation, and operational compliance.

2.4 Remote Online Notarization (in development)

Texas Secretary of State authorization for Remote Online Notarization (RON) is in process under Texas Government Code §406.101–§406.112. RON is a separate authorization layered on top of the standard notary commission, requiring digital certificate provisioning, electronic seal issuance, and platform integration. Anticipated availability is reflected on the Remote Online Notarization page; in-person notarization remains the primary service offering until RON is authorized.

2.5 Continuing Education

Texas notary law evolves through legislative changes and Texas Secretary of State rule updates. Recent material changes include HB 255 (2023, fee schedule), SB 693 (2025, RON requirements), and HB 3474 (2025, deposition authority). Staying current on these changes is part of how the practice operates — not a CLE-style annual exercise but an ongoing practice of monitoring updates and adjusting operations accordingly.

3. Insurance Coverage

DFW Notary Professional carries comprehensive professional and business insurance coverage through Hiscox, a specialized commercial insurance carrier serving professional services businesses. Three categories of coverage are in place:

  • Errors and Omissions (E&O) — Professional Liability. Covers claims arising from errors or omissions in performing notarial services. This is the primary professional liability coverage for notaries.
  • Cyber Liability. Covers claims arising from data breaches, privacy incidents, and unauthorized access to client information. Particularly relevant given the personally identifiable information involved in identity verification.
  • Commercial General Liability (CGL). Covers third-party bodily injury and property damage that could arise during mobile appointments — for example, an accidental fall or property damage at a client’s location.

Coverage is in addition to the $10,000 Texas notary surety bond described in Section 1, not in place of it. The bond and the insurance serve different purposes: the bond provides a fixed-amount protection mandated by Texas law; the insurance provides broader, higher-limit protection for the realities of professional practice.

4. Operational Standards

4.1 Journal Documentation

Texas Government Code §406.014 requires notaries to maintain a record book of notarial acts. We maintain a contemporaneous notary journal documenting every notarial act with the date and type of notarization, signer name and address, identification method, fee charged, and other required details. Journal entries are made at the time of the notarial act, never reconstructed afterward.

Journal records are retained for the period required by Texas law (10 years for traditional notarial acts) and are available for inspection in accordance with applicable law and SOS guidance.

4.2 Document Handling

Client documents are handled with the same care expected at any professional services firm. Documents in transit (between appointments, en route to title companies, in apostille processing) are protected through tracked delivery, secure storage, and chain-of-custody documentation. We don’t retain client documents beyond what’s operationally necessary, and we follow document destruction practices for materials containing personal identifiers.

4.3 Privacy and Data Security

Client privacy and data security are addressed in our Privacy Policy. The policy covers what information we collect, how it’s used, how long it’s retained, and how we protect it. Data security measures include encrypted storage of electronic records, secure communication channels for sensitive information, and access controls that limit information exposure to operational necessity.

4.4 Avoidance of Unauthorized Practice of Law

Texas notaries who are not also licensed attorneys are prohibited from giving legal advice, preparing legal documents, or selecting notarial certificates for clients (with limited exceptions). DFW Notary Professional adheres to these boundaries strictly. We do not draft documents, recommend document language, advise on legal effect, or substitute for the role of a licensed attorney. When clients have questions that require legal answers, we direct them to consult an attorney.

4.5 Conflict of Interest

Texas notaries must be impartial — a notary cannot notarize for a transaction in which the notary is a party or has a beneficial interest. We decline notarial acts where a conflict of interest exists or could reasonably be perceived. This includes transactions involving family members, business partners, or any matter where our independence might be questioned.

5. B2B Procurement Information

This section consolidates information typically requested by procurement teams at title companies, law firms, healthcare facilities, employer clients, and other business clients during vendor onboarding. 5.1 Insurance Coverage Details

Carrier: Hiscox Insurance Company Inc.

  • Errors and Omissions (Professional Liability): $1,000,000 per claim / $1,000,000 aggregate
  • Cyber Liability: $500,000 per claim / $500,000 aggregate
  • Commercial General Liability: $1,000,000 per occurrence / $2,000,000 aggregate

Coverage limits meet or exceed the typical requirements of title companies, signing service marketplaces, and other professional clients. Specific policy numbers, effective dates, and renewal information appear on Certificates of Insurance.

5.2 Certificate of Insurance (COI)

Certificates of Insurance are available on request for vendor onboarding, contract execution, and ongoing engagement documentation. To request a COI, email info@dfwnotarypro.com with “COI Request” in the subject line and include:

  • The certificate holder name and address (the entity that needs to receive the COI)
  • Any specific coverage requirements that need to be reflected (per-claim minimums, particular language)
  • Whether additional insured naming is required (see Section 5.3)
  • Delivery method preference (email, fax, postal mail)

5.3 Additional Insured Naming

Additional insured naming is available for ongoing B2B engagements where the relationship structure supports it. For one-time engagements or marketplace assignments where additional insured naming is required, the request can be discussed in advance — some configurations involve a small premium adjustment that affects pricing for the specific engagement.

For title companies and lenders with standard additional insured language, send the requested language with the COI request and we’ll confirm whether it can be accommodated within standard turnaround.

5.4 Background Screening Documentation

Documentation of current background screening status is available with the COI package on request. The NNA’s background screening report identifies the screening completion date, screening scope, and the renewal cycle.

5.5 W-9 and Vendor Setup

A current Form W-9 is available on request for vendor setup. The business is registered as an LLC with the Texas Secretary of State; the W-9 reflects the LLC structure and current EIN.

5.6 Engagement Agreements

For ongoing B2B relationships, we typically establish a written engagement agreement covering pricing, payment terms, service scope, and any custom arrangements. The engagement agreement can incorporate vendor terms specific to the client’s standard procurement framework where reasonable. For one-off engagements, the published Terms of Service, Fees, and quote govern.

6. Professional Background

DFW Notary Professional is operated by a credentialed business professional with a PhD in Business, an MBA, and twenty-plus years of corporate leadership experience including current responsibilities as a Director of People Operations and graduate-level instructor.

The professional background matters for two practical reasons. First, the operational disciplines that show up in this practice — written quotes before booking, transparent fee schedules, comprehensive insurance, documented compliance practices — come from running professional operations at scale. Second, clients in regulated environments (title companies, law firms, healthcare facilities, employers handling I-9 verification) often work with vendors whose level of professional discipline doesn’t match their own. We don’t have that gap.

7. Independent Verification

For B2B clients who verify vendor credentials independently, the following resources are available:

  • Texas Secretary of State Notary Directory. Active commission status can be verified through the Texas SOS public notary search by name.
  • Texas Secretary of State Business Search. LLC registration and good standing can be verified through the Texas SOS business entity search.
  • National Notary Association. NSA certification status and background screening currency can be confirmed by request to the NNA.
  • Hiscox. Insurance coverage details are confirmable through the Certificate of Insurance once issued.

8. Compliance Updates

Credentials and compliance practices change over time. Commission renewal, certification renewal, insurance renewal, RON authorization, and any other material changes are reflected on this page when they occur.
